Your Supplier's Paperwork Becomes Your Problem

Simpler Recycling

Since 31 March 2025, workplaces in England with 10 or more full time equivalent staff have had to present dry recyclables, food waste and general waste separated for collection, under the Simpler Recycling rules.

The threshold counts across your whole business, not per site , so five London offices with two people in each are still in scope. Firms under ten staff have until 31 March 2027.

Sanitary Waste

Sanitary waste sits under separate rules again. It is classed as offensive waste and cannot go into general waste or down the drain, so it needs a licensed carrier.

Confidential Paperwork

Confidential paperwork carries two duties at once: UK GDPR for the data, and duty of care under the Environmental Protection Act 1990 for the waste itself.

What to Ask Any Supplier For

None of this is checked by looking at your bin store. It is checked on paper, so ask for the paper.

Check the Supplier's Paperwork
  • Ask who is registered to carry your waste, because only a registered carrier can issue you a waste transfer note.
  • Ask to see a note after a collection rather than being told one exists.
  • For confidential waste, ask whether destruction meets BS EN 15713 and what certificate you receive.
  • For pest control, ask for the visit records an environmental health officer would want to see.

Straight answers on scope, pricing and who does the work.

Do I have to move my cleaning contract to you as well?

No. You can buy any of these services on their own. The saving comes from bundling, because a team already on site costs less to schedule than one making a special trip, but there is no requirement to switch your cleaning to get a quote.

Do you do air conditioning, electrical testing or plant maintenance?

No. Clenova covers soft services, which means the support work around a building rather than its mechanical and electrical systems. For M&E you need a hard services provider, and we would say so rather than take the job.

Who actually carries out the keyholding?

Our security partner. Clenova arranges and manages the service and you deal with one account manager, but the officers who attend an alarm activation are supplied through the partner, not Clenova staff.

What happens to our current supplier's staff if we switch?

TUPE may apply. The Transfer of Undertakings (Protection of Employment) Regulations 2006 can cover a change of service provider, including cleaning contracts, which means the people already working on your site may transfer to the incoming supplier rather than lose their jobs. Whether it applies depends on the circumstances, so we go through it with you at the survey stage before anything is agreed.

Can one contract cover several sites?

Yes. One agreement, one account manager and one monthly report can cover multiple London sites with a different mix of services at each. Most multi-site clients find the reporting is the bigger benefit, ahead of the pricing.

What does the 90 day guarantee actually cover?

It is a written commitment on the standard of the work we deliver. If the standard slips in the first 90 days of a contract, we put it right at our own cost.

How quickly can you start?

That depends on the service and the site. A free survey comes first, then a written proposal setting out the schedule, the specification and the price for each service.
